How to Order Custom Polo Shirts: A Sizing & Ordering Checklist

Ordering polo shirts for a team is straightforward once you know the sequence — but skipping a step is the most common reason an order gets delayed or arrives with the wrong sizes. Use this checklist before you request your quote.

Follow it in order and your first quote will already have everything we need.

Step 1: Gather your artwork

Send your logo as a vector file (AI, EPS, SVG, or PDF) if you have one. If you only have a photo or low-resolution PNG, don’t worry — our designers recreate it print- and stitch-ready at no charge.

Step 2: Decide fabric and decoration method

Choose cotton-pique or performance poly-blend based on your team’s environment, and embroidery or screen-print based on your logo’s size and detail. See our fabric and decoration comparisons if you’re unsure.

Step 3: Collect a real size breakdown

Don’t estimate sizes from memory. Send a quick survey to your team, or use a size-run assumption (roughly 20% S, 30% M, 30% L, 20% XL) only if a real headcount survey isn’t possible — it’s far more accurate.

Step 4: Confirm your quantity and buffer

Order your current headcount plus a 10–15% buffer for new hires or growth, so a single new employee doesn’t trigger a costly small reorder later.

Step 5: Approve your mockup

We’ll send a photo-real mockup within 24–48 hours. Check logo placement, color accuracy, and size chart carefully — this is your last chance to catch anything before production starts.

Step 6: Approve & pay

Once the mockup is signed off, production begins the same day. Standard turnaround is about two weeks; rush is available for firm deadlines.
